A backup is a second copy of your files (or entire system) stored somewhere safe. Hard drives fail, laptops get lost, and ransomware can lock your data—backups let you recover. This section covers practical strategies most Windows users can start today: cloud sync, external drives, and built-in tools. For advanced scheduled tools (AOMEI Backupper, etc.), see section 10.2.
Why backup matters
- Hardware failure: SSDs and hard drives wear out without warning.
- Accidental deletion: Empty Recycle Bin or overwrite the wrong file.
- Theft or loss: A stolen laptop takes your only copy unless data lives elsewhere.
- Malware / ransomware: Encrypted files may be unrecoverable without a clean backup from before the attack.
The 3-2-1 rule (simple guideline)

Services like OneDrive (see section 9.2) mirror folders such as Desktop, Documents, and Pictures to the provider’s servers. Changes upload automatically—simplest form of real-time backup for everyday files.
- Best for: Documents, photos, school/work files you need on multiple devices.
- Note: Sync is not ransomware-proof if infected files upload—pair with version history or a separate offline backup.

A dedicated USB hard drive or SSD holds a full copy of your data drive (e.g.,
D:) or user folders. Disconnect when not backing up to protect against ransomware that spreads to attached drives.- Best for: Large libraries, videos, periodic full copies, offline recovery.
- Note: Manual copy is easy to forget—schedule a weekly reminder or use File History / 10.2 software.

3. Windows built-in tools
File History saves versions of files in Desktop, Documents, Pictures, etc. to an external drive on a schedule. Backup and Restore (Windows 7) and System Image (where still available) can capture broader snapshots for disaster recovery.
- Best for: “Undo” an old version; automatic local backup without third-party apps.
- Note: Requires an external drive connected periodically; not a substitute for off-site cloud alone.

What to back up first
- Documents, Desktop, and Pictures (irreplaceable work and photos).
- Project folders on
D:or other data drives—not necessarilyC:\Windowsor installed apps (those come from reinstall/media). - Browser bookmarks, password manager export, and license keys if not already in the cloud.
- Skip huge temp folders and downloads you can re-fetch.
Set up OneDrive as backup (quick start)
Full cloud details are in section 9.2. Minimum steps:
- Sign in: taskbar OneDrive cloud icon or Settings > Accounts > Email & accounts.
- Choose folders to sync—at minimum Documents and Desktop if you store work there.
- Confirm files show a green check or cloud icon in File Explorer; wait for initial upload on a stable connection.
- Enable Personal Vault or 2FA on your Microsoft account for sensitive scans (optional).
Set up File History (Windows 10/11)
- Connect an external USB drive with enough free space.
- Settings (
Win + I) > Update & Security > Backup (Win 11: Settings > System > Storage > Advanced storage settings > Backup options, or search “File History”). - Turn on Automatically back up my files / add a drive for File History.
- Click More options to set frequency (e.g., every hour) and how long to keep versions.
- To restore: Settings > Backup > More options > Restore files from a current backup, or right-click a file in Explorer > Restore previous versions (when File History is active).
Manual copy to an external drive
- Plug in the drive (see section 9.3 for safe use).
- In File Explorer, select folders to copy (e.g.,
