Windows built-in tools (Win + Shift + S, PrtScr) are enough for basic captures. Third-party screenshot utilities add faster annotation, scrolling captures, pinned references, and one-click upload—worth installing if you share screenshots daily for work, tutorials, or support tickets.
When a third-party tool helps
- You need arrows, blur, or text immediately after every capture.
- You want long / scrolling screenshots of web pages or documents.
- You capture the same workflow repeatedly and want custom hotkeys or auto-save rules.
- You want screenshots to float on screen while you work (reference material).

Choosing and installing safely
- Try built-in tools first (sections 8.1–8.2); add third-party software only when you hit a clear limit.
- Install one primary capture tool to avoid hotkey conflicts (
PrtScrcan only map to one app). - Download from the vendor’s official website or Microsoft Store—avoid repackaged “optimizer” bundles.
- During setup, uncheck optional offers (browser extensions, toolbars) unless you explicitly want them.
- For confidential screens, prefer local save (ShareX, Greenshot, Snipaste) over auto-upload tools unless your company approves the service.
